Email signature generator
A signature that looks the same in Gmail, Outlook and on a phone: real text rather than an image, a phone number people can tap, and your logo. Fill in the fields, copy, paste.

Click “Copy the signature”, then paste it (Ctrl+V or ⌘+V) where shown.
Gmail (web)
- Click the gear, then See all settings.
- In the General tab, scroll to Signature and click Create new.
- Paste in the box, choose it as the default for new emails and replies.
- Scroll to the bottom and click Save changes.
Gmail on a phone uses a separate, text-only mobile signature: leave it empty to use this one.
Outlook on the web and new Outlook for Windows
- Gear › Account › Signatures.
- Click + New signature, name it and paste.
- Choose it as the default for new messages and replies, then Save.
Classic Outlook for Windows
- File › Options › Mail › Signatures…
- Click New, name it, then paste in the editing box.
- Choose it under New messages and Replies/forwards, then OK.
If the logo appears too large, right-click it in the editor › Size and Position, and set the width shown here.
Apple Mail (Mac)
- Mail › Settings › Signatures.
- Choose the account, click + and name the signature.
- Untick Always match my default message font, then paste in the right-hand box.
The logo may show as a question mark in the settings window: that is normal, it appears in the messages.
iPhone and iPad
- On the device, open this page, fill in the fields and tap Copy the signature.
- Settings › Apps › Mail › Signature (older iOS: Settings › Mail), then paste.
iOS keeps part of the formatting only: the Compact template holds up best. If the result is too plain, shake the device and choose Undo to go back to the formatted version.
What makes a good signature
Real text
Not one big image
A signature made of a single image disappears when images are blocked, can't be read by screen readers, and the phone number can't be tapped.
Here, everything is text except the logo.
Online logo
An address, not an attachment
The logo is loaded from your website when the message is opened. Messages stay light and the logo doesn't appear as a mysterious attachment.
Use a PNG or JPG between 200 and 600 pixels wide.
Short
Four or five lines
Name, role, organisation, one or two ways to reach you. The rest (quotes, banners, badges) is rarely read and weighs down every reply.

Why tables and inline styles?
Email software doesn't display HTML like a browser. Classic Outlook for Windows uses Word's engine: it ignores most modern CSS but respects tables, the width attribute of images and styles written on each element. That is why the code looks old-fashioned: it is what displays the same way everywhere.
The logo gets an explicit width and height (calculated from the real image), so that Outlook doesn't show it at full size.
Dark mode
Many people read their email in dark mode. Gmail and Outlook then recolour your signature: dark text becomes light, the white background turns dark, but the logo stays as is. A black logo on a transparent background can become invisible. Test your signature with our dark-mode email preview: the “Test in dark mode” button sends it there directly, without it leaving your browser.
The legal note
A confidentiality notice has little legal weight, but some organisations require it. Keep it short and in small type. For a registered charity, the registration number can go there too.
